Most processing fees described as "hidden" are technically disclosed — but in ways that are easy to miss. This page covers fees that merchants commonly overlook: unfamiliar names, fine-print conditions, and charges that only appear in specific circumstances.

Key principle

The advertised rate (e.g., "2.6% + $0.10") almost never represents the complete monthly cost of processing. Always request a full, itemized written fee schedule — not just the transaction rate — before signing with any processor. Then calculate your estimated effective rate including all fees.

Fees Merchants Commonly Overlook

Non-Compliance Fee (PCI)

High impact

Charged when a merchant fails to complete their annual PCI DSS questionnaire. Can significantly exceed the standard PCI compliance fee. Triggered by inaction — many merchants don't realize they need to complete an annual PCI assessment.

Where to look:

Monthly fees section — listed differently from the standard PCI fee. May be labeled 'PCI Non-Compliance Fee.'

What to ask:

What is your PCI compliance fee? What is the non-compliance fee if I don't complete the assessment? How do I complete my PCI assessment?

Downgrade / Mid-Qualified / Non-Qualified Surcharges

High impact

On tiered pricing statements, transactions that don't meet 'qualified' criteria are assigned to higher-cost tiers. The surcharge for the tier difference may appear as a percentage or flat amount. Many merchants don't realize how much volume lands in non-qualified tiers.

Where to look:

Transaction detail section on tiered statements — look for 'MQUAL,' 'NQUAL,' 'Mid-Qualified,' 'Non-Qualified,' or 'Downgrade' line items.

What to ask:

What percentage of my transaction types typically qualify for the qualified rate? What triggers a downgrade in your system?

Annual Fee

Medium impact

Some processors charge an annual account or membership fee in addition to monthly fees. It may not appear on monthly statements and can be easy to overlook.

Where to look:

December or January statements, or a separate billing notification.

What to ask:

Is there an annual fee in addition to monthly fees? When is it charged?

IRS 1099-K Reporting Fee

Low–Medium impact

Some processors charge a fee for producing IRS Form 1099-K (required for merchants who meet specific transaction thresholds). This fee may not be disclosed prominently at signup.

Where to look:

January statement or a separate year-end fee notice.

What to ask:

Is there a fee for 1099-K reporting?

Voice Authorization Fee

Low–Medium impact

If a terminal can't authorize a transaction electronically and the merchant calls for a manual voice authorization, some processors charge a fee per call. Rare but real.

Where to look:

Transaction detail — may appear as 'voice auth' or 'manual auth' line items.

What to ask:

Do you charge for voice authorizations?

Early Termination Fee on Month-to-Month Accounts

Medium impact

Some processors advertise 'no long-term contracts' but include termination fees in the fine print for specific services (payment gateway, equipment leases, or bundled services) even when the base merchant account is month-to-month.

Where to look:

Your contract, specifically the gateway agreement or equipment lease terms.

What to ask:

Are there any cancellation fees for any component of this service, including the gateway or terminal?

Excessive Decline Fee

Low impact

Some processors charge when a merchant's decline rate exceeds a threshold. Uncommon but can appear in high-volume or high-risk accounts.

Where to look:

Monthly fees section — may be labeled 'high decline volume fee' or similar.

What to ask:

Do you charge any fees based on decline rate or declined transaction volume?

Address Verification (AVS) Fee

Low impact

A small per-transaction fee for address verification checks on card-not-present transactions. Sometimes bundled into transaction fees; sometimes a separate line item.

Per-transaction detail on card-not-present transactions.

What to ask:

Do you charge AVS fees separately or are they included in the transaction fee?
