Merchant Descriptor

The name, phone number, or URL that appears on a customer's bank or credit card statement to identify a transaction. A clear, recognizable descriptor helps customers identify purchases and reduces chargebacks initiated because the customer doesn't recognize the charge. Soft descriptors (set per transaction) and hard descriptors (set at the account level) may be configured differently by each processor.

How unclear merchant descriptors can contribute to chargebacks

How it works in practice

The merchant descriptor is what your customers see on their bank or credit card statement when a charge appears. If the descriptor doesn't match what a customer remembers from the purchase — for example, if it shows a parent company name or a short code rather than the business name — the customer may contact their bank rather than the merchant to ask about the charge. Businesses operating under a DBA or brand name that differs from their legal entity name should confirm which name actually appears in the descriptor and whether it is recognizable to their customers.

Frequently asked questions

How can I find out what descriptor currently appears on customer statements?

Make a small test transaction and check the resulting statement entry, or contact your processor directly. Check whether your processor's account portal includes descriptor settings, or ask support to confirm what currently appears on statements.

What is the difference between a hard descriptor and a soft descriptor?

A hard descriptor is set at the account level and appears by default on all transactions. A soft descriptor is configured per transaction. Whether your processor supports soft descriptors depends on the processor — not all offer this option. Ask your processor which descriptor types are available on your account.

Why does the descriptor matter for subscription or recurring billing businesses?

For subscription or recurring billing, customers may not immediately recognize a charge if the descriptor doesn't clearly identify the business or subscription. A descriptor that matches the brand name customers associate with the purchase can help them recognize the charge without contacting their bank.
